Segments and Timing

How to build your runsheet with segments, set durations, add production details, and let Runsheet handle the math.

Creating a show

Click New Runsheet from the dashboard. The first step is Show Info, where you set:

  • Show title and a short Show ID (like "ML-001")
  • Production date and start time
  • Total show length in minutes and seconds

The show length sets your target. As you add segments, Runsheet tracks total allocated time against your target so you always know if you're over or under.

Segment types

Segments are the building blocks of your runsheet. There are four types, each with a default duration:

Type Default Duration Purpose
Content 5:00 Your actual show segments: interviews, packages, live hits, panels
Break 3:00 Commercial breaks
Promo 0:30 Promotional spots
Bumper 0:15 Short transitions between content and breaks

Default durations are starting points. Adjust the duration of any segment to match your actual show timing.

Production details

Content segments have optional fields for production information that appears on printed runsheets:

  • Set / Location where the segment takes place
  • Audio notes for the audio operator (mic assignments, playback cues)
  • Video notes for the TD and graphics operator (camera assignments, VT rolls, graphics)
  • Guests appearing in this segment (names, titles, talking points)
  • Description for general notes visible to all crew

Break, Promo, and Bumper segments only have a title field since they typically don't need detailed production notes.

Managing guests

Guest information lives inside each segment. There's no separate guest list. When you're editing a segment's details, add guest names, titles, and relevant notes directly in the guest field.

This keeps guest info contextual: you always see who's in which segment, and it prints that way too. If the same guest appears in multiple segments, add them to each one.

Automatic timing

Runsheet calculates start and stop times for every segment based on your show's start time and each segment's duration. When you reorder segments or change a duration, all downstream timings update automatically.

The running total shows how much time you've allocated vs. your target show length. If you're over, you'll see it immediately.

Reordering segments

On desktop, grab the drag handle on any segment and move it to a new position. On mobile, use the up/down arrow buttons. All start and stop times recalculate instantly.

Tip: Use the segment list to plan your show block by block. Group related content together, place breaks at natural transitions, and use bumpers to smooth the flow.
